In 2022, the Ivy Brain Tumor Center launched a Spanish version of its primary website with the help of CyraCom’s translation and localization experts. The website makes clinical trial information accessible to patients and caregivers in their primary or preferred language.
Background: Ivy Brain Tumor Center
The Ivy Brain Tumor Center at Barrow Neurological Institute is a nonprofit research program that conducts “state-of-the-art clinical trials for patients with even the most aggressive brain tumors.” The program received the largest single research grant in the history of brain tumor research worldwide, helping their team focus on discovering new therapies for their patients.

Ivy Brain Tumor Center website translation goals and strategy
The Ivy Brain Tumor Center stakeholder’s primary goal for the Spanish website, IvyBrainTumorCenter.org/es, was to mirror the best aspects of the English version:
- Regular updates with the most current clinical trial information
- Patient support research
- Inspiring patient stories
The team wanted visitors whose web browsers are set to Spanish to be automatically directed to the Spanish site, making it easier for prospective clinical trial participants to access key information in their preferred language.

CyraCom helped the Ivy Brain Tumor Center translate their English content into Spanish for the new site using best practices and recommendations from experienced human linguists. The process followed a few simple steps:
1. Preparation
Melinda Langdon from the Ivy Brain Tumor Center requested a quote from CyraCom’s translation team via email.- CyraCom’s project manager (PM) reviewed the English website and discussed the project with stakeholders from the Ivy Brain Tumor Center and their third-party website vendor to provide a free quote.
- After the quote was accepted, CyraCom’s PM worked with the client’s third-party vendor to gather translatable text from the website.
- Note: While CyraCom often uses XML or HTML files to easily pull website text for translation, we accommodated the client’s preference to provide us with an Excel file instead.
2. Translation
We split the Ivy Brain Tumor Center’s website content into four batches to simplify the translation process, maintain consistency, and reduce costs.- The first batch of translated content helped our team create a unique Translation Memory database for the client, which we used to maintain consistent medical terminology throughout the rest of our translations. With each batch of translated content, the Translation Memory grew and updated to include more approved text that can be applied to future projects. This method helped the client save on repeated text within each batch of content, such as disclaimers.
3. Quality Assurance
- Each batch of translated website content was reviewed by CyraCom’s linguists and proofreader before being sent to the client and their third-party vendor for approval.
The Ivy Brain Tumor Center’s stakeholders were most involved during the first translation batch, but became more laid back after seeing how thorough CyraCom’s team was. Throughout the rest of the project, they trusted CyraCom and their third-party vendor to handle the details.
4. Project Completion
Once all content translation and quality assurance were complete, CyraCom provided the final files to the client and their vendor via our secure Translation Portal.
5. Ongoing Support
The Ivy Brain Tumor Center periodically requests new quotes to add new or updated content to their Spanish site, such as their Patient Blog Posts.
